Who we are

Carneyhall Kennels is a family-run dog boarding kennels at 83 Upper Damolly Road, Newry, Northern Ireland, owned by Ms. Angela Byrne. We are responsible for the personal information you give us, and we decide how it is used.

What information we collect

When you make a booking enquiry, we collect:

  • your name, home address, email address and phone number

  • arrival and leaving dates and times

  • your dog's details (name, breed, age and any other details you give us)

  • your vet's name and address

  • any medical conditions, medication and doses for your dog

  • an emergency contact's name and phone number, and whether you want us to contact you directly in an emergency

  • any other information you choose to add

When you use our contact form, email or phone us, we collect your name, phone number, email address and whatever you tell us in your message.

When your dog stays with us, we also keep copies of your dog's vaccination records, payment and deposit records, and notes about your dog's care during their stay.

When you visit our website, we collect basic technical information such as your browser type and pages visited, only if you accept cookies. See the Cookies section below.

Some of the information about your dog's health is not personal information about you, but we treat it with the same care.

Why we use your information

We only use your information to run our boarding service. The law requires us to have a reason (a "lawful basis") for each use:

  • Handling your booking enquiry, confirming your booking and caring for your dog: contract (we need it to provide the service you asked for).

  • Contacting your vet or emergency contact if your dog is unwell: contract, and our legitimate interest in your dog's welfare.

  • Checking vaccination records: legal obligation and legitimate interest (protecting all dogs in our care).

  • Taking deposits and payments, and keeping accounts: contract and legal obligation (tax records).

  • Answering questions sent through our contact form, email or phone: legitimate interest (responding to you).

  • Website statistics through cookies: consent (only if you accept cookies).

We do not sell your information, and we do not use it for marketing unless you have separately agreed to hear from us.

Who we share it with

We only share your information where we need to:

  • Your vet, or another vet in an emergency, if your dog needs treatment during their stay.

  • Your emergency contact, if we cannot reach you.

  • Squarespace, which hosts our website and stores the forms you submit. Squarespace's privacy policy

  • Google reCAPTCHA, which checks that form submissions come from a person, not a spam program. Google's privacy policy

  • SumUp, which processes payment links for deposits.

  • 123-Reg, which stores our emails.

  • Our accountant, insurers, or the authorities if the law requires it.

Some of these companies may store data outside the UK. Where they do, they use safeguards approved under UK data protection law.

How long we keep it

  • Booking details, dog, vet and medical details: 3 years after your dog's last stay, so returning guests don't need to fill everything in again.

  • Payment and deposit records: 6 years, as required for tax purposes.

  • Enquiries that don't lead to a booking: 12 months after we reply.

  • Contact form messages: 12 months after we reply.

On a daily basis, we securely destroy all paper copies such as run cards and feeding schedules.

How we keep it safe

Our website uses a secure (HTTPS) connection, and our forms have spam protection. Access to booking information is limited to the people who run the kennels. Paper records, such as vaccination certificates, are kept in a locked office.

Cookies

Cookies are small files that websites store on your device. When you first visit our site, a banner asks for your choice.

  • Essential cookies keep the website working and remember your cookie choice. These are always on.

  • Analytics cookies help us see how many people visit and which pages are useful. These are only set if you select "Accept all".

You can change your choice at any time using the "Cookie Preferences" link at the bottom of any page.

Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the information we hold about you

  • ask us to correct anything that is wrong

  • ask us to delete your information, unless we have to keep it by law (for example, payment records)

  • object to, or ask us to limit, how we use it

  • withdraw your consent to cookies at any time

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
